Hi guys,
This thing've been bothering me for some time..
Do you guys actually charge your customers if they request for the the web proposal (etc. "please re-arrange my current site")

I met some ppl who ran away when the quotation is sent out. And most probably they might hand over the proposal to another web designer to do. Who knows? Effort got snatched

Well, depends what you do for the prospective client. If it's just a detailed price quote, you can't really protect that.

If you did some custom work, like do a mock-up, or write a concept - you either negotiate a fee, in case you are not hired or - if you get rejected and then see your work implemented by someone else, you can threaten them with copyright violations (both, the prospective client and that someone else ). I mean - unless you are willing to dedicate time and resources to a copyright action, you won't get anything out of it except for the dark satisfaction coming from harassing them.

Yasha,
Thank you.Really appreciate that. . Can I have one more question?
Like for example this customer, he wants me to re-organise his top navigation/content and write a proposal to him. Normally will you charge for that??

No, but I won't give him a full mockup either. I give him a portion of it so that he can see some of what I'm thinking. If he wants more, that'll cost him. If he screws off with the proposal and goes to another designer, it doesn't bother me.

(Mind you, I haven't actually had to DO a quote in over a year now so it's a bit of a moot point.)

I agree. You'd probably have to provide Information Architecture specs, since this is how your client is likely to choose you. However, when it comes to design, just give him an image of a mockup. Of course, the client can run off with you work - but then - see my previous post

Usually though, clients won't do that. But that's just in my experience.

I think it would be appropriate to charge the customer for studying the website requirements, and putting forward a detailed specifications report.

There are so many designers out there if you charge for the quote clients hit the road fast. Over time you will learn how to leave key pieces of data out of proposals but still make them enticing to the customer. Example: "using our proprietary software we will do x-y-z-". Don't tell them how - just tell them the results they can expect. If they buzz off to the competition you haven't given away a design map.

One thing I began charging for is the handshake meeting. I will do a conference call, write a proposal, send it via email, but about 40% of prospective clients want to meet in person. I just let them know ahead of time that I bill for on-site consultations. However, if they sign the contract at the time of the meeting, I will consider the meeting part of the estimate.

I never charge for the first meeting because it offers me the opportunity to evaluate the customer.

Some customers really don't know what features they need on there website, and as a result will generally not be prepared to pay the amount I would ask for for designing the site. If they don't know what features they need on there own website ~ which is supposed to be a reflection of his own company ~ I won't take him seriously. Just like he probably won't take my quote seriously.

However, if a customer seems determined to make a real attempt to get noticed online I will gladly send them a detailed quote for free also. The meeting allows us to throw plenty of ideas back and forth and I include all of them in the quote, priced individually.

This way a customer can see exactly what he is paying for, and if it is a little out of his range he can always suggest removing some of the unnecessary features.

When his site does "take off" and the customer sees a return on his money they have always come back and requested the features that were a little out of his price range to begin with

It's also worth noting that a detailed quote can really impress the client. I provide a brief 1 page summary at the start of the quote and a further 6 pages of details, showing how long I expect it to take me to work on each area of his site. I even go so far as to include details on what each "technical term" means, for example I explain what HTML, PHP, etc all mean. If a client is interested in making his business a success online, he should be interested in the very basics of how his site works.

The last client I signed informed that this was the reason he chose me for the job. He received 8 different quotes (ranging from £50 - £4000) and he loved all of the detail I had included because it showed the client that I really understood what his needs were.

Cheers,
Will

So many great suggestions!

Don't know if this will help you or not, but when we are approached to do any type of contracted service, we send a customer profile over for them to complete. It helps to guide the customer to be gathering the information that they need for a site design, etc -- and it also sorts out the serious customers from the "lookie loos" (<-- a technical term, by the way) :-)

Hope that helps,
Traci

I actually forgot about that stage lol, thanks to promo*diva for pointing that out. Guess its been a while since I was offered a job I felt worthy of following up.

You can ask possible clients to fill out a basic "About Us" form where they can give you a general idea about there company and what they aim to achieve by having a website built.

Those who really dont care about making a serious attempt at breaking into the online world wont even bother to read your 'questionnaire', let alone fill it in. They will already have chosen "Bobs Bargain Websites" down the road that will offer him the complete package for £250 with his site being ready by tomorrow.
